This post presents our requirement analysis for the Integrated Library Interactive System (ILIS).
It outlines user analysis, task analysis, and some derived design requirements based on user observations.
Our Target Users
Freelancers often rely on public spaces as alternative workplaces, and the library becomes one of the most suitable options due to its quiet environment and free access to resources. They frequently make use of study rooms and discussion rooms for client meetings, virtual calls or focused work sessions. In addition, freelancers may refer to books, journals or other library materials to support their professional tasks. They value efficiency, quick access to information and a smooth facility booking process. As such, they expect a system that provides fast navigation, clear availability indicators, and minimal steps to complete their tasks.
Educators regularly use the library to search for teaching materials, borrow literature or subject-specific books for their students and ensure timely renewals to support their lesson planning and classroom activities. Their usage behaviour emphasises the need for accurate information, reliable access to materials and seamless borrowing or renewal functions. Since educators often work under tight schedules, they expect a system that helps them locate resources quickly, check availability in real-time and avoid overdue penalties through clear reminders and simple renewal options.
Parents are another important user group for the library system as they frequently access library services on behalf of their children. They borrow storybooks, search for age-appropriate reading materials and make reservations for the kid-friendly facilities or activity rooms. Parents often multitask and depend heavily on mobile devices, which means they require a system that is intuitive, mobile-friendly, and easy to use while managing childcare responsibilities. They expect straightforward search features, clear instructions and simplified booking and renewal processes that minimise effort and time.
Persona of the Target Users
Persona 1 (Freelancer)She expects that the library system can help her increase her productivity, ensure that meeting spaces are secured and allow her to access the information she needs with minimal time. However, Janice experiences pain points in the existing system such as unclear booking confirmation, difficulty finding real-time room availability and confusing book search results. She would benefit from a library system that provides fast and simple navigation, real-time status updates for facilities and AR guidance that helps her locate books instantly. She hopes to experience an application that provides every step smoothly and intuitively.
Ms Aida is a 28-year-old English teacher who frequently uses the library to support her lesson planning and teaching activities. She often borrows literature books, language references, and reading materials to prepare classroom exercises and assignments for her students. Although she is familiar with basic digital tools such as email, Google Classroom and school management systems, she sometimes finds complex or cluttered interfaces overwhelming. She has only little time to browse shelves manually or troubleshoot confusing digital menus as Mr Aida’s work schedule is tight.
Her main motivations are to find teaching materials quickly, avoiding overdue fines and maintaining uninterrupted access to the books she needs for her lessons. Additionally, Ms Aida often brings groups of students to the library for reading sessions or activity-based learning, which requires her to book library discussion rooms or activity rooms in advance. Her common pain points include understanding the books’ call numbers, unclear about the book locations, slow or cluttered search results and forgetting due dates due to the lack of reminders. Ms Aida would benefit greatly from a system with a cleaner search interface, real-time book availability, AR-assisted navigation that guides her directly to the correct shelf and simple renewal notifications. She also needs a clearer facility booking system that shows room availability and provides instant confirmation so she can plan student activities smoothly. Overall, she hopes for a more organised and user-friendly library system that saves her time, reduces stress and supports her teaching workflow effectively.
Persona 3 (Parents)
Mr Lim is a 45-year-old working father who frequently visits the library with his 10-year-old child. He often borrows children’s books, searches for recommended reading materials and sometimes books kid-friendly facilities such as the children’s reading room or computer stations. As he often multitasks between work and childcare, Mr Lim usually performs all library-related tasks on his mobile phone. Hence, he prefers simple, visually clear and mobile-friendly interfaces that help him complete tasks quickly while taking care of his child.
Mr Lim’s main pain points with the current library system include inaccurate facilities information and availability, difficulty searching for suitable children’s reading materials and system interfaces that are complicated and slow on mobile devices. He would benefit from an improved library system that offers accurate search filters for children’s materials, easy book renewals, AR navigation to locate shelves and a simplified, mobile-friendly booking process. Mr Lim hopes for a system that supports busy parents, reduces hassle and makes every library visit smoother for both he and his child.
